Alumni Hall is located on the east edge of The University of Alabama campus, at 224 Bryant Drive, Tuscaloosa, AL. The Alumni Hall Conference Room & Lobby may be rented for business-related functions and receptions by completing the online request form.

The National Alumni Association Alumni Hall may be used for University of Alabama-affiliated business functions only. 

The conference room and lobby may be used during non-normal business hours; not during the hours of business operations: Monday – Friday 8 a.m. to 5 p.m. 

The NAA offices operate on The University of Alabama’s calendar relative to its holiday and campus closure schedules, which are set annually by the University, as well as closing due to inclement weather and other unforeseen events. The Alumni Hall may or may not be available when the University is closed.

The building key may be picked up by the responsible party the day of the event or Friday for weekend events. Keys are to be left at the front desk when leaving the building after locking up. Keys not returned are subject to a $500 fine to the responsible party.  

The Conference Room houses an executive conference table and chairs with seating for sixteen. The lobby area has various seating for 14-16. Capacity for events held at Alumni Hall is limited to 75 attendees.  

USE: Use of the Alumni Hall Conference Room & Lobby must be scheduled by completing the online request form. 

SPACE: Space is reserved on a first-come basis and is not booked as a facility rental until a signed contract and a non-refundable 50% deposit is on file with the NAA. Space is booked in evening and weekend day/half-day time lots. Setup and tear down must be included in this time. Please include one hour preceding your event’s start time for set up and at least one hour following your event for breakdown. 

DELIVERIES: All deliveries must be coordinated through the Alumni Office. All deliveries must be made to the loading dock. The NAA cannot assume responsibility for items left by the caterer, rental company, or facility user. 

KITCHEN/FOODSERVICES/CATERERS: All food and beverages brought into Alumni Hall must be contracted through one of The University of Alabama approved caterers. The kitchen may be used for warming and preparation of food and refreshments, however, food must be cooked off premises and brought in. Food and beverage are to be served in the conference room only, not in the lobby. Table pads are to be used on the conference room table if food and/or beverages are being served. Renters are to provide linens to cover table pads.  

ALCOHOL: Affiliated chapters and societies of the NAA and non-University users may host functions at which alcoholic beverages may be served, conditioned upon such service being provided by the University’s Approved Food and Beverage Provider. For any event held at Alumni Hall at which alcoholic beverages will be served, the University’s exclusive catering services provider shall be used to serve all alcoholic beverages at said event. All alcohol sold or distributed at the Alumni Hall must remain on the premises, likewise, no outside alcohol can be brought onto the premises. The National Alumni Association is released from any and all liability concerning the presentation, consumption, and/or distribution of any alcoholic beverages. 

FURNITURE: Furniture may not be moved or rearranged without prior approval from the NAA. Furniture in the lobby is not to be moved. The conference room table is not to be moved. The chairs in the conference room may be moved but must be returned to their original position prior to leaving. 

DECORATIONS: All decorations and rental items must be approved by the NAA. Props must be free standing, including signs. Nothing is to be attached to the walls or the ceiling without permission. No posters or banners will be permitted on the exterior or grounds without the approval of the NAA. No tacks, nails, tape, or similar items may be used in the. Glitter, “silly string,” rice, sprinkles and confetti are not allowed in Alumni Hall. There may be no open flames and all candles must be battery operated.

TRASH: All vendors are responsible for their individual trash. All trashcans must be used with trash bags. Do not place loose trash directly in the trashcans. All trash and event waste materials must be removed from the premises immediately following the event. No trash is to be left in the facility use area. Dumpsters are located outside the Bryant Conference Center. A cleaning fee of $500 will be charged to Renters who do not comply with cleaning and security rules. 

LIABILITY: Each facility renter shall indemnify and hold harmless the National Alumni Association, The University of Alabama, and their respective agents and employees against any and all damages, claims, and liabilities arising out of its use of the Alumni Hall, including, without limitation, any and all claims for injury or death to persons from any source, including, but not limited to, COVID-19, or damage or loss of personal property. A completed Risk Liability Waiver must be signed by the renter when picking up the key.  

DAMAGES: The facility renter is responsible for the payment of any damages to or loss of Alumni Hall’s property, including but not limited to damage that may occur to floors, walls, and fixtures caused by movement of tables, chairs or equipment, if such damage occurred as a result of the event, including during preparations or cleanup. The facility renter further agrees to pay any and all costs of repair of damage to the facility caused by itself or its vendors, guests, or invitees, or occurring during its vendors, guests, or invitees use of the facility pursuant to this agreement. If any extra labor, cleanup, equipment, etc. are added to the scope of this agreement the facility renter agrees to pay for such items at a rate determined and set forth by the NAA. 

CURFEW: All events at Alumni Hall must end by 10:00 p.m. and all guests must exit the building at that time. Organizers and clean-up crews are permitted to stay until 11:00 p.m. to complete their duties. In the event that all persons have not exited Alumni Hall by 11:00 p.m., an hourly fee of $150 will be assessed. 

PAYMENT: Acceptable forms of payment include Visa, MasterCard, Discover, American Express, checks and Departmental Transfers. Checks must be made payable to the Alumni Fund. Final payment is due ten (10) days prior to the event.  

CANCELLATION FEES: Any scheduled event that is cancelled within 5 days of the booked event will incur a cancellation fee of forfeiture of the deposit.  

ANIMALS: Animals are not permitted in Alumni Hall, with the exception of service animals trained to do work or perform tasks for persons with disabilities. Service animals must be harnessed, leashed, or tethered while in the building. Emotional support animals are not permitted. 

SMOKING: The University of Alabama is a tobacco-free environment. No tobacco products are permitted on campus. Vaping and e-cigarettes are also prohibited 

COMPLIANCE: The NAA reserves the right to deny use or continued use of its facilities to any person or organization not complying with the Association’s policies and procedures. 

RESPONSIBLE PARTIES/RENTERS: Person signing agreement is the responsible party. The responsible party will pick up key and be instructed on such procedures as turning off lights, appliances, electronics, etc.; latching and locking all doors prior to leaving the building; areas off limits; etc.  

The Reservation Guidelines above are meant to maximize the use of Alumni Hall for the UA Community and to establish a safe environment for our patrons. All guidelines are subject to review by The National Alumni Association and can be amended or changed at any time with or without notice.
