Many email clients will not preserve crimson links and will revert to another color. Your signature may look correct in the signature settings, and look different when you start a new message. See more information below the form.

If you receive email on different devices (phone, iPad, computer) using an app instead of a web browser, you will need to paste your signature on each device.

NAA Email Signature Instructions

Before you start:

• Use the NAA Email Signature Generator to create your signature.

• Click “Copy Signature.”

• You must paste the signature into each email app you use.

• If you use multiple devices, repeat these steps on each device.

Important note about link colors

Some email apps automatically adjust link colors based on device settings or themes. This behavior is controlled by the email app and cannot always be overridden. Your signature will still function correctly even if link colors vary.

Apple Mail on Mac (desktop)

  1. Open Apple Mail.
  2. In the menu bar, select Mail → Settings.
  3. Click Signatures.
  4. Select the email account you want to use.
  5. Click the + button to add a new signature.
  6. Paste your copied signature into the signature box.
  7. Close Settings.

• Apple Mail generally preserves formatting and link colors.

Outlook on Mac (desktop)

  1. Open Outlook.
  2. Select Outlook → Settings from the menu bar.
  3. Select Accounts (or Account, depending on version).
  4. Select Signatures.
  5. Create a new signature or edit an existing one.
  6. Paste your copied signature.
  7. Save.

• Outlook for macOS will change link colors when signatures are saved or inserted.

Try this workaround (macOS only)

• Switch Outlook to Legacy Outlook.

• Add your work email account.

• Paste or edit your signature there and save.

• Switch back to New Outlook using toggle button in top menu.

Outlook for Windows (PC desktop)

  1. Open Outlook.
  2. Select File → Options.
  3. Select Mail.
  4. Click Signatures.
  5. Create a new signature or edit an existing one.
  6. Paste your copied signature.
  7. Save and close.

Outlook on the web (browser)

  1. Go to outlook.office.com and sign in.
  2. Click the Settings (gear icon).
  3. Select Account.
  4. Select Signatures.
  5. Paste your copied signature into the editor.
  6. Save your changes.

Apple Mail on iPhone and iPad

  1. Open the Settings app.
  2. Select Mail.
  3. Select Signature.
  4. Choose your email account.
  5. Paste your copied signature.

  1. Open the Outlook app.
  2. Open Settings.
  3. Select Signature.
  4. Paste your copied signature.

If using the Outlook app

  1. Open the Outlook app.
  2. Go to Settings → Signature.
  3. Paste your copied signature.

If using the Gmail app

  1. Open the Gmail app.
  2. Go to Settings → Your account.
  3. Select Mobile Signature.
  4. Paste your copied signature.

FAQ

Why does my signature look different on my phone than my computer?

  • Each device stores its own signature. You must paste the signature on each device.

Why do link colors change?
